Understand what applications do, how they depend on the operating system, and why file formats matter.

Purpose-built programs#

Application software helps a user perform a task: writing a document, editing an image, browsing the web, analysing data, communicating, or playing media. System software, including the operating system and drivers, manages the environment in which applications run.

How applications depend on the system#

An application requests memory, file access, display output, network connections, and other services through the operating system. It may fail if the platform, processor architecture, available memory, permissions, or required supporting software is incompatible.

File formats and interoperability#

Applications store information in formats. Some formats are widely supported, while others preserve features specific to one program. Exporting to a shared format can improve compatibility but may remove editing features.

Before sharing a file, consider whether the recipient needs to edit it, only read it, or preserve exact layout. The best format depends on the purpose.

Installation and updates#

Obtain software from a trusted publisher or managed source. Review requested permissions, system requirements, and update notes. Updates can correct defects and security weaknesses, but unfamiliar download prompts should be verified rather than accepted automatically.

Common mistakes#

Do not assume that a file and the program that opens it are the same thing. A document is data; a word processor is software. Also avoid judging an application only by visual similarity—different tools may store data or handle privacy very differently.

Choose deliberately#

Match the tool to the task, supported formats, device capability, collaboration needs, accessibility, security, and long-term ability to reopen the work.
